Registration Policy

Registration fees are non-refundable.

Registration transfers are permitted through September 1, 2026, and must be requested in writing by the original registrant. Transfer requests must be emailed to events@onewereach.org no later than September 1, 2026.

Effective September 2, 2026, all registrations are final. No refunds, cancellations, substitutions, or transfers will be permitted.

Conference badges are the property of OneWe Reach and are required for admission to all conference sessions, networking events, meal functions, and other official conference activities. Attendees must wear their conference badge at all times. Lost badges should be reported immediately to the Registration Desk. Replacement badges may be issued after verification of the attendee's identity.

OneWe Reach reserves the right to modify the conference agenda, speakers, educational sessions, event locations, dates, times, or other program elements without prior notice. Such changes do not constitute grounds for a refund or cancellation.

The OneWe Reach Annual Conference is photographed, audio recorded, and video recorded for educational, archival, marketing, and promotional purposes. By attending, you grant OneWe Reach and the OneWe Reach Foundation permission to photograph, record, livestream, and otherwise capture your likeness, voice, image, and participation and to use these materials in print, digital, social media, websites, and promotional materials without compensation or additional consent.

Attendees may not record, livestream, reproduce, distribute, or commercially use conference presentations or materials without prior written permission from OneWe Reach.

OneWe Reach reserves the right to refuse, revoke, or cancel any registration or conference participation at its sole discretion.

Any disputed credit card charges or chargebacks submitted in violation of this Registration Policy may result in the attendee becoming ineligible to register for future OneWe Reach events until the matter has been resolved.

Health & Liability Waiver

I acknowledge that COVID-19, Hantavirus, and other communicable illnesses are contagious and may be transmitted through person-to-person contact or other means of exposure. Participation in the OneWe Reach Annual Conference, including educational sessions, networking events, meals, exhibits, and other conference activities, may increase the risk of exposure to or infection by COVID-19, Hantavirus, or other communicable illnesses.

While OneWe Reach is committed to providing a safe conference environment and may implement health and safety measures as appropriate, OneWe Reach cannot guarantee that I will not be exposed to or contract COVID-19, Hantavirus, or any other communicable illness while participating in conference activities.

By registering for and attending the conference, I voluntarily assume all risks associated with exposure to or infection by COVID-19, Hantavirus, or any other communicable illness, as well as any other risks associated with my participation.

I agree to comply with all health, safety, and security policies established by OneWe Reach, the conference venue, or applicable governmental authorities, including any policies implemented before or during the conference.

To the fullest extent permitted by law, I release, waive, indemnify, and hold harmless OneWe Reach, the OneWe Reach Foundation, the conference venue, sponsors, exhibitors, contractors, volunteers, officers, directors, employees, agents, and representatives from any claims arising from my participation in the conference, including claims related to COVID-19, Hantavirus, or other communicable illnesses, except where caused by gross negligence or willful misconduct.

OneWe Reach Conference Code of Conduct

OneWe Reach is committed to providing a professional, respectful, inclusive, and welcoming conference experience for all attendees, speakers, sponsors, exhibitors, volunteers, staff, media, and guests. All conference participants are expected to conduct themselves with professionalism, integrity, courtesy, and respect throughout the conference.

Professional Conduct

The following behaviors are prohibited:

• Harassment, discrimination, intimidation, bullying, or threatening behavior.
• Verbal or physical abuse toward attendees, speakers, exhibitors, volunteers, hotel staff, or OneWe Reach personnel.
• Disruptive conduct that interferes with conference sessions, networking events, exhibits, meetings, or other conference activities.
• Damage to conference facilities, hotel property, exhibitor displays, or equipment.
• Conduct that violates applicable laws or venue policies.
• Any behavior that, in the judgment of OneWe Reach, compromises the safety, security, or professional environment of the conference.

Business Conduct

OneWe Reach encourages professional networking and relationship building. However, activities that interfere with the conference experience or circumvent official sponsorship and exhibitor opportunities are prohibited. Without prior written approval from OneWe Reach, participants may not:

• Conduct sales presentations, demonstrations, or promotional activities outside of contracted sponsorship or exhibitor benefits.
• Distribute marketing materials, promotional items, or product samples in conference spaces or hotel public areas.
• Solicit attendees, speakers, sponsors, or exhibitors in a manner that is disruptive or inconsistent with the conference experience.
• Host competing meetings, receptions, hospitality suites, or events that conflict with official OneWe Reach conference programming.
• Display signage, banners, or promotional materials outside approved exhibit or sponsorship areas.
• Engage in "suitcasing" or "outboarding," including conducting business activities intended to avoid purchasing sponsorship or exhibit opportunities.

Media & Recording

Conference presentations, educational materials, and recordings are the intellectual property of their respective presenters and/or OneWe Reach. Participants may not record, livestream, photograph presentation materials for distribution, or otherwise reproduce conference content without prior written permission from OneWe Reach. Members of the media, content creators, podcasters, photographers, videographers, and others wishing to conduct interviews or record conference content for publication or commercial purposes must obtain prior approval from OneWe Reach.

Conference Credentials

Conference badges must be worn at all official conference functions. Badge sharing or the use of another person's conference credentials is prohibited.

Enforcement

Participants are expected to comply with all reasonable instructions from OneWe Reach staff, volunteers, venue personnel, and conference security. OneWe Reach reserves the right to deny admission to or remove any participant whose conduct violates this Code of Conduct or otherwise disrupts the conference. Individuals removed from the conference for violations of this Code of Conduct will not be entitled to a refund and may be prohibited from participating in future OneWe Reach events.
